DOs & DON'Ts of Email

Good manners and courtesy is something that we should all practice in our daily lives.  It is also important to use good manners when sending email or when participating in the many chat services available.

Sending messages on line has developed its own set of guidelines to ensure that users have a pleasant experience while enjoying the ease of communicating on the Internet.

These rules are unwritten rules but they are well known on the Internet and are meant to insure that everyone comfortable while chatting or emailing and that we do not offend anyone else.

Giving Out Email Addresses

DO
Give your email address to your friends and family

Give your email address to people you want to do business with

Give your email address to groups, newsletter, or programs that you wish to sign up for.
 

DON'T
Give out other people's email addresses without their permission - they may not want to get emails from whoever you are giving it to.

Give your email to just any program on the Internet, you will end up with your Inbox flooded with unwanted ads. Make sure you really want to receive ads from this program.
Tip: If you want to explore and sign up for lots of programs, open up a special email account and use it just for sign ups, that way your personal account won't get so full.

Q: I have my own website and I want to send out advertising for my products. Can I use email to do that?

A: Yes, email marketing is very effective but you need to do it the right and legal way.

If you just randomly send ads to people by email, it is called SPAM and it is illegal. (see the DOs & DON'Ts of Email in the i4c Net Basics)

DO
Write newsy letters to family and friends
and invite them to write you back

Use email for business needs and keeping in touch with colleagues.

DON'T
It is better not to write email that are so long it will take an hour to read it. Remember, most of us are using web cafes that cost money. Reading a letter that is 5 pages long may be too costly.

You should write business emails that are to the point and specific. Business people do not have a lot of time so they will not appreciate, nor read, an email that is long and not specific.

Tip: If you have a lot of information or news to send in an email, you might consider sending it in several emails as a series. That way you can include everything you want to say but won't take up so much time for your reader. You could send them on different days.

DO
Use capital letters as they are intended; at the beginning of a sentence or for a proper noun or name.

Use all capitals for one word that you really want to EMPHASIZE.

DON'T
YOU SHOULD NOT TYPE YOUR EMAIL IN ALL CAPITALS. ON THE INTERNET THIS IS CONSIDERED SHOUTING AND IS CONSIDERED RUDE.

If you are participating in a chat room or a group, this is  very important to remember as others in the group may get offended if they think you are shouting at them.

you should also not type in all small letters with no periods or other punctuation the readers eye is trained to recognize punctuation and capitals and without them it can be very distracting.
 

Using Fonts and Colors                              Back to Top
DO
You should experiment with different fonts. There are many and they can be fun and interested to try out.

You can also try out different colors of font to make your emails more interesting and fun to read. As you can see reading this lesson, using a different color can make a point or thought stand out.

DON'T
You should not, however, go wild with the fonts and colors.
Emails that are created using lots of colors and fonts are sometimes hard to read and are often not able to be read at all on some browsers. Here's an example of way too much creativity:
Hi, I just found all these really great colors and fonts that I can use in my email. I just had to try them out. Don't you just love them?  Bye

Did you find it a little hard to read?  Remember, your object is to have your email read, you can be creative in other areas of your computer time but tone it down for emails.

DO
It is very acceptable to use shortened words like you do when sending an SMS on your phone. Its easy to type and most people are able to read it quickly and easily.

You can also feel free to shorten really long words using abbreviations to save time typing. Like Mon. for Monday, or misc. for miscellaneous.

The Internet has developed their own language based on abbreviations and if you like this type of thing, you should explore it. It would be especially helpful to you if you are using chat or Instant Message services since many others will be using it and you will want to know what they are saying.

DON'T
You should not send an abbreviated message to someone who will not understand the new Internet language. Suppose you got this message right now:

H
i, just had dinner with the dw and fil and fwiw, he is real loser.lol  He had the nerve to tell me how to paint houses. I told him to myob and, imnsho, he needs to do just that. dw was pretty mad, lol, but otoh, she is always pretty mad. j/k  isrm  cya

You are probably thinking you need a translator, right? Getting an email like this might be frustrating. So, make sure your reader will know what you mean.

You should not use the new Internet abbreviations in business emails as this is considered to be unprofessional. Save it for your personal email and chats.
 

DON'T

You should never, ever send your ads unsolicited. This can result in your email account being shut down permanently and in severe cases of abuse, your website can be shut down and banned.

There are many ways you are allowed to send email ads and it is in your best interest to find the legal ways to do this before you just start sending ads by email.
